Is this approved by HMRC?
ftrak uses HMRC's published mileage rates (55p/mile up to 10,000 miles, 25p/mile after, for 2026/27) and expense categories — the same figures you'd enter on a self-assessment return. We're a record-keeping tool, not a tax adviser. HMRC does not approve or endorse specific software, and there is no HMRC "seal of approval" to display.
Do I need to buy all modules?
No — pick only what you need. Starter covers receipts, Mileage & Fuel covers trips and fill-ups, Time & Invoices covers clocking in and client billing, Transactions covers income and expenses, and Property covers landlord rental income and expenses. Pro bundles everything at a discount.
Can I track more than one business?
Yes. The Businesses page lets you keep separate self-employment trades, plus your UK and foreign property income, fully separated — each with its own records and reports. Most pages show a business picker automatically once you have more than one.
What happens when my trial ends?
You choose a plan and continue. If you don't subscribe, your account is downgraded and your data is preserved for 30 days so nothing is lost while you decide.
Do I need a credit card to start?
No — the free trial gives full access to every module with no card required. You only enter payment details if and when you choose to subscribe.
Can I cancel any time?
Yes. Open the Subscription page and choose "Cancel or pause subscription". Cancelling stops future billing; it does not retroactively refund the current billing period. Your data is kept for 30 days after your subscription lapses in case you change your mind.
Can I pause instead of cancelling?
Yes — from the same "Cancel or pause subscription" screen you can pause for 3 months instead. Billing stops during the pause and your subscription (and access) resumes automatically when it ends, so you keep everything without paying while you're away.
What is the difference between monthly and annual billing?
Annual billing saves roughly 17% compared to paying monthly for the same modules, billed once a year instead of 12 times.
Can I mix and match modules, or switch later?
Yes. Add or remove modules at any time from the Upgrade page — your access updates immediately and billing is adjusted accordingly.
Is the software cost tax-deductible?
For UK sole traders, software used for running your business is generally an allowable business expense — log it as a Transaction like any other business cost. Confirm with your accountant if you are unsure.
Is my data safe?
Your data is encrypted in transit (TLS), sensitive fields are encrypted at rest, and passwords are hashed — never stored in plain text. Two-factor authentication and passkeys are available for extra account security.
Who owns my data?
You do. We do not sell your data or use it for third-party advertising. You can export everything as CSV, PDF or ZIP, or permanently delete your account and all associated data, at any time from your settings.
What happens to my data if I delete my account?
Deletion is permanent after a 30-day grace period, during which you can still cancel the deletion. We recommend exporting your data first — once the grace period ends, it cannot be recovered.
Do you share my data with anyone?
Only where necessary to run the Service — Stripe for payments, our email provider for transactional emails, and HMRC if and when you instruct us to submit information on your behalf. Full detail is in our Privacy Policy.
What mileage rate does ftrak use?
The current HMRC Approved Mileage Allowance Payment (AMAP) rates: 55p per mile for the first 10,000 business miles in a tax year (up from 45p from April 2026), then 25p per mile — plus 24p for motorcycles and 20p for bicycles. ftrak applies the correct rate for each vehicle type automatically, and uses the historic 45p rate for claims in earlier tax years.
Can I use ftrak for CIS?
Yes. The Transactions module tracks income and can record CIS deductions at 20% or 30% at source, giving you a clear picture of gross vs net pay for your tax return.
Can ftrak help landlords?
Yes. The Property module tracks income and expenses in HMRC's SA105 UK-property categories — including the residential finance-cost restriction (mortgage interest gives a 20% basic-rate tax credit rather than a deduction) — for both UK and foreign rental property. You get per-property net profit plus monthly and quarterly figures, ready to export or file directly.
Does ftrak submit my return to HMRC automatically?
Yes. Connect your Government Gateway account from the HMRC Filing page and you can submit VAT returns, quarterly updates for self-employment and UK/foreign property, and your Final Declaration straight from ftrak — no manual re-entry into HMRC's own portal. You always see a preview and confirm before anything is sent.
What is Making Tax Digital (MTD) and do I need it?
MTD for Income Tax requires self-employed people and landlords above the income threshold to keep digital records and send quarterly updates to HMRC, instead of one annual return. ftrak's HMRC Filing page covers the whole cycle — quarterly updates, adjustments, and the Final Declaration that closes your tax year.
Can I carry a loss forward or back?
Yes. The Losses section of HMRC Filing lets you record a trading loss to carry sideways against this year's other income, back against a previous year, forward against future profits of the same trade, or apply a brought-forward loss — submitted directly to HMRC.
Are the tax estimates shown in the app final?
No — they are estimates for guidance, based on the figures you have entered and HMRC's published rates and bands for the tax year. Always verify your final position with HMRC or a qualified accountant before filing.
How do I raise a complaint or data-protection concern?
Use our complaints form — no account required. We acknowledge every complaint within 30 days, as required by UK law, and notify you by email (and in-app, if your account is linked) as the status changes.
Can I track the status of a complaint I filed?
Yes, if you're signed in — go to Account → My Complaints to see a status timeline for everything you've submitted.
What if I'm still not satisfied?
